The Collections Management Notes feature is often defined as the “hub” or “main functionality” of Collections Management, which is why Professional Advantage continues to focus product development around this feature. Our newest release for Collections Management came with a plethora of enhancements to the Notes functionality. This release is compatible with GP 2016, GP 2015, and GP 2013.

Here are the newest feature’s added to the Collections Management Notes:

1) Collections Main window Notes expansion arrow added; creates new resizable window to view notes

Why is this important: Some customers have a lot of note activity, but the Notes display on the Collections Main window is not able to be resized. Now, by clicking the expansion button, a window opens to the right of Collection Main displaying a larger number of rows, and it’s resizable.

2) See when a Collection Note was last modified

Why is this important: By default, notes are displayed by date created. If you have recently updated an older note, in previous versions, it could be difficult to find the latest activity for that customer on the Collection Main window. By tracking the date the note was last modified, the most recent activity can be easily displayed in the Collections Main window.

3) On Collection Main, Notes can be sorted by the date they were updated in addition to the date they were opened

Why is this important: By sorting by date updated, if you have updated an old note, it then appears at the top. New notes have a new date updated so they are at the top as well. The problem customers were having was if they updated a note from say two weeks ago, they had to dig through all the notes to find the old one, even though it was recently worked on, to find the latest info. This feature also allows a customer to sort by User ID, Action Assigned to, Action Date, Action Amount, and Action Promised. This can be accomplished by selecting the field title in the header of the Notes display/window, ascending and descending by clicking.

4) See the notes a document has been assigned to over time

Why is this important: In previous versions, while users could see how a note has evolved over time, if an invoice had been transferred to other notes, you weren’t able to see that trail. Example: A customer may have disputed an invoice at one time, then the dispute was resolved, so the note was closed. At that point the invoice was way past due and the customer had been sent many letters. Eventually the customer promised to pay it, but current status shows it’s still not paid. Without some deep investigation, a collector couldn’t easily see it was previously disputed. With this new feature a user would know all this information at one time (i.e. this was once a disputed invoice) which could influence how they go about collecting the invoice.
