Collections Management works with the National Account feature in Microsoft Dynamics GP®.
It does so by first ensuring that it is setup as described on our Knowledge Base Site under:
National Accounts and Collections Management Setup.
In the following lines, we will go over an example on how this feature can be used in Collections Management. Specifically, we will go over the use of this feature in Collections Management via the Build Query Window, the Query Letters window and the Contact Window. First, via a query.
I
Build your query In the query window, one will need to build a query and have the following checkbox checked: “Consolidate National Account Activity”.
In this example, as we can see via the National Accounts Maintenance window shown below, customer AARONFIT0001 is the parent of the following customer: Baker’s Emporium
II
Secondly, in the query letters window, after building a Collections Letter pertaining to the overdue invoices, one will notice that the overdue invoices included in the body of the Collections Letters pertaining to both the Parent and the Child accounts.
This can be shown on this Print Screen below showing all overdue Invoices in the body of the Collections Letters pertaining not only to Parent Account AARONFIT001 but also the Child Account BAKERSEM001
III
In the query letters window, If there is a need to only include as an attachment the invoices pertaining to both the Parent and the Child accounts, one can achieve this byselecting Print Documents > selecting the documents needed to be printed > and with the final step, checking the following checkbox: Consolidate National Account Activity.
With these steps detailed above, we are able to include the parent and child account(s) information in the body of our Collections letters but also as attachment. Lastly, it is worth noting that the same outcome described above can be achieved in the Collections Management Main Contact Window ( Collections Main > Contact) as shown on thisPrint Screen below as long as the “Consolidated National Account Activity” checkbox is checked.
Using Collections Management along with the National Account feature in Microsoft Dynamics GP, the information pertaining to both the Parent and the child Accounts can be retrieved and consolidated.
In this perspective, under the parent account, considering that national account option is checked in the Collections Main Window, the aging buckets will pertain to both the Parent and the Child accounts and finally, as described above on this blog post, we were able to see how the parent and child accounts information can be consolidated via the Build Query, the Query Letters window and also the Collections Management Contact window. Happy Invoicing using Collections Management and National Accounts!
